Job Description
We are seeking a friendly, professional, and highly organised Patient Care Administrator to be the first point of contact for our company. The Patient Care Administrator plays a vital role in ensuring the smooth operation of patient services within the healthcare setting. You will be the first point of contact for patients, providing excellent customer service, administrative support, and coordination between patients and clinical staff.
The ideal candidate will have excellent communication and customer service skills, strong attention to detail, and the ability to manage multiple tasks with professionalism and discretion.
Key Responsibilities:
- Greet and welcome visitors in a warm, professional manner
- Answer, screen, and direct incoming calls and emails promptly and efficiently
- Maintain the reception area, ensuring it is tidy and presentable
- Manage bookings for meeting rooms and other shared spaces
- Receive, sort, and distribute daily mail and deliveries
- Assist with administrative tasks such as data entry, filing, and document preparation
- Maintain visitor logs and ensure sign-in procedures are followed
- Liaise with clinical and non-clinical staff to ensure effective communication and continuity of care
- Ensure confidentiality and compliance with GDPR and data protection regulations
- Assist with audits, reports, and other administrative tasks as required
Person Specification
Essential:
- Proven experience in a front-desk or customer-facing role
- Proven experience in administration
- Five GCSE’s grade A*-C including English Language and Mathematics
- Excellent verbal and written communication skills
- Strong interpersonal and customer service abilities
- Competent in Microsoft Office (Word, Excel, Outlook) and general IT systems
- Ability to handle sensitive information with discretion
- Ability to accurately maintain patient records
- Ability to remain calm and efficient under pressure
Desirable:
- Experience working in a Clinical Trials or Healthcare environment
- Customer Service NVQ
- Business Administration NVQ
- Knowledge of medical terminology
